St. Joseph's Academy seeks an Operations Assistant to join our Mission Advancement team in mid-July.  


POSITION SUMMARY:

  • This position has significant responsibilities in the areas of data and gift entry to ensure that all gifts, estates, stock donations, and pledges are accurately recorded in both St. Joseph’s Academy Mission Advancement database and reconciled with the Finance Office.
  • The MA Operations Assistant supports the Mission Advancement Office by preparing various database reports; ensuring that SJA events are successful; and working collaboratively as a team to make sure Mission Advancement goals are achieved.
  • The MA Operations Assistant assists the MA Operations Manager in coordinating the SJA Pave the Way program.
  • This position participates in weekly staff meetings and follows up with Mission Advancement Director on necessary tasks to be completed weekly.
The SJA Mission Advancement Operations Assistant reflects the mission and values of St. Joseph’s Academy and adheres to the school’s policies, guidelines, and procedures. 

Must be a team player and be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work flexible hours with occasional evenings and weekends.  The MA Operations Assistant must have the ability to work with a high degree of discretion and confidentiality.

ESSENTIAL FUNCTIONS:
  • Enter daily all gifts and pledges for SJA and the SJA Foundation into the Mission Advancement database (Raiser’s Edge), and deposit of receipts with Finance Office.
  • Produce daily official batch reports and Presidential acknowledgment letters.
  • Reconcile all gift income reports with the Finance Office.
  • Provide support for all Alumnae and Mission Advancement events.
  • Assist with the preparation of direct mail solicitations.
  • Update individual and gift record information.
  • Keep precise records of all gift solicitations.
  • Maintain confidentiality with all office assignments.
  • Work with online donations.
  • Continue to develop skills for Raiser’s Edge.
  • Review Mission Advancement Office monthly calendar and meet necessary deadlines.
  • Ensure all Mission Advancement stationery, forms and office supplies are well stocked.
  • Assist MA Operations Manager with the input of new students and family data into Raiser’s Edge over the spring and summer months.
  • Help with events as needed, including but not limited to setup, cleanup, purchasing food and supplies and various details of events. (Averages 1 event per month)
  • Occasionally may have to work weekends and/or after regular work hours
  • Help, as necessary, with the preparation of mailings, name tags, and meet with appropriate people to assist with the following events: Annual Fund, 1868 dinner, Grand Reunion, 6-month reunion, 50-year class reunion, out-of-town reunions, Grandparents’ Day, Senior Grandparents’ Week, Career Day, Athletic Hall of Fame, Pickleball Tournament, Mahjong Madness, Tennis Tournament, Soiree, etc.
  • Ability to be a representative of SJA in the community

Qualifications:
  • At least 3 years’ experience in an office setting required, with experience in inputting data, developing reports and working within a database.
  • Database experience required. Raiser’s Edge experience preferred.
  • Proficient using the latest versions of Microsoft Office Suite Products including Word, Excel, PowerPoint and Publisher; mail merges, email and web searches. Must be accurate, precise, well-organized and attentive to details.
  • Ability to work as a team with the Mission Advancement Office, administrators, President and staff.
  • Ability to work with a variety of volunteers as needed.
  • Excellent interpersonal, professionalism and communication skills in writing, proofreading and speaking.
  • Exceptional work ethic and high expectations for quality.
